Privacy notice

Government Gateway is provided by HM Revenue and Customs (HMRC) to government departments. HMRC will be referred to as ‘we’ throughout this notice.

We are committed to protecting the privacy and security of your personal information.

The purpose of this notice

This privacy notice describes how we collect and use personal information about you in accordance with data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act (DPA) 2018.

What data we collect

The personal data we collect from you includes:

  • your name and email address
  • information about the device (for example phone or laptop) you used
  • the internet connection you used
  • details about your role, for example what rights you have to view certain data
  • your phone number, if you set up additional security to receive access codes via text or voice call. Your phone number is only used for authentication purposes

Why we collect your personal data

We collect your personal data to help you access government services securely. You use Government Gateway to confirm your identity and we send this information to the government service you are trying to access.

This data can be viewed by authorised people in HMRC, supplier organisations, other government departments, agencies and public bodies to:

  • allow you to access government services
  • improve Government Gateway by monitoring how you use it
  • gather feedback to improve Government Gateway
  • respond to any feedback you send us, if you have asked us to

Keeping your data secure

We have put in place measures to protect the security of your information.

We treat the security of your data very seriously. We have strict security standards, and all our staff and other people who process personal data on our behalf get regular training about how to keep information safe.

We have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information we collect about you.

Your personal information will only be seen by those who have a business or legal need to see it.

Where we use third-party service providers they will only process your personal information on our instructions or with our agreement, and where they have agreed to treat the information confidentially and to keep it secure.

We have put in place procedures to deal with any suspected data security breach and will notify you and the regulator of a suspected breach where we are legally required to do so.

You should prevent the unauthorised or fraudulent use of your details, for example by using secure passwords.

How long we keep your data

While your Government Gateway user ID and password remains active we will hold your personal data.

Transaction monitoring data, audit and data collected by government services will normally be held for seven years but you should read the data retention policies that relate to these government services before you use them.

If you do not sign in for 3 years, your details will be deleted.

Transaction monitoring

In order to protect your data and our services we operate a transaction monitoring capability. This records how you connect to our systems, and what you do whilst you are on them. Read more information in our Transaction Monitoring Privacy Notice.

Sharing your information

We may pass on your personal information if we have a legal obligation to do so.

Overseas data transfers

We will share information about your device including its IP address with a third party supplier which has data centres located in the EU and the USA, and which complies with the EU-US Privacy Shield Framework.

Your rights

Under certain circumstances, by law you have the right to:

  • request access to your personal information
  • request correction of personal information
  • request erasure of information
  • object to processing of personal information
